Job Description:
Patient Services Coordinator General
Summary:
Offers friendly, courteous, and confidential assistance to every patient to ensure that the patient has a positive experience while in clinic.
Maintains accurate information on each patient to facilitate the patient encounter.
Uses online and automated systems to expedite patient verifications before patient is seen.
Works with others in a team environment.
Essential Job Functions:
Answers phones and provides routine information to callers.
Enters patient demographic and insurance information.
Verifies insurance information using various methods of verification.
Obtains reason for visit to include on scheduled appointment slot.
Prepares superbills with all patient and insurance information.
Collects various payments (past due balances, copays, deductibles, etc.
).
Scans all patient correspondence into their chart.
Scope of Responsibility:
Knows the informal policies, procedures, and practices necessary to conduct the normal function of the clinic.
Is fully aware of the role and its potential impact on the team as a whole.
Should be able to handle any situation with professionalism.
However, should any issues arise at the front desk that cannot be resolved by the coordinator must be promptly directed to the supervisor.
Decision Making:
Carries out all routine duties and responsibilities without immediate supervision.
Makes decisions and establishes work priorities based on efficiency.
Authority:
Does not direct the activities of staff unless so directed by supervisor or office manager.
Communication:
Exchange routine information to any and all employees in an appropriate manner.
Any phone calls for the nurse practitioners should be screened beforehand and when necessary, messages given promptly.
Physical Requirements:
Ability to stand, walk, or sit for an extended period of time.
Ability to multitask efficiently.
Reaching by extending hand(s) or arm(s) in any direction.
Finger dexterity required for manipulating objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard.
Ability to see within normal parameters.
Ability to hear within normal range.
Expectation of possible exposure to communicable diseases.
Other Duties &
Responsibilities:
Check images need to be uploaded through the machine every morning.
Cash drawer should be counted before day begins.
Make sure outside rug and sidewalk in front of door is neat and clean.
Make sure there is enough ink and paper stocked (in printers and extra).
Make sure lobby is neat and clean, this includes:
Cleaning all glass and dusting blinds.
Dusting shelves, pictures, equipment, etc.
Keeping walls/baseboards/doors clean.
Wipe down all chairs, door handles, and counter tops daily.
Organizing magazines, restocking Kleenex and business cards.
Any trash in waiting area needs to be picked up, empty trash can if getting full.
Water/dust plants daily.
Copy/scan all patient correspondence with nurse practitioners signatures (physicals, FMLA paperwork, etc.
).
Assist other employees in their duties if/when necessary.
